Job Description

A fantastic opportunity has arisen for an HR Operations Specialist to join the London office of one of the world's most prestigious US law firms. This position supports the efficient operation of the Firm's Human Resource (HR) Business Unit, by effectively managing systems, data, and information processes, with a concentration on data entry, data integrity, data confidentiality, data definitions, querying/reporting, and business processes relating to the data maintained within the Firm's HR system.

Key duties for the HR Operations Specialist will include:

HR Systems

  • Train all international-office HR Data Entry staff on completing accurate and timely entries into the Firm's HCM system, PeopleSoft, including re/hires, full life-cycle changes such as job title updates and promotions, office and department transfers, compensation and bonus updates, a variety of benefit enrolments, setting up and maintaining dependents/beneficiaries and trusts, and terminations.
  • Train, mentor, and coach all international offices on the appropriate use of PeopleSoft modules (HR, Time, Absence, and Benefits), data confidentiality, and data definitions.
  • Provide functional support of the PeopleSoft modules that the international offices utilise, including testing PeopleSoft upgrades and initiatives, and applying project management technics in support of logging, tracking, and working through root cause analysis, bug fixes and system enhancements.
  • Support major applications used by HR such as specific Recruiting (SilkRoad) and Payroll (ADP) systems.
  • Provide support to the international offices in HR Information Systems related projects. Take an active role in PeopleSoft work intake meetings, advocating for the international offices. System-related activities include testing PeopleSoft upgrades, functionality, and enhancements.
  • Actively participate in the documentation of all International-office HR Operations business processes.
  • Provide cover with data entries as and when needed for all international offices.

Payroll Administration - UK

Assist the Associate Director, HR Operations to manage the monthly payroll cycle for the London office:

  • Prepare and validate the monthly payroll information for the London office in conjunction with the HR Operations Team.
  • Ensure that the monthly payroll information is administered in a timely manner and detailed records of any payroll amendments are maintained.

Reporting/Management Information

  • Provide timely and meaningful, and accurate query output for requestors based on requirements provided.
  • Run standard audit queries to identify data entry errors.
  • Assist in the development of reporting capabilities on behalf of the international office.
  • Assist with monthly reporting, absence reporting and reconciliations as well as yearend processes.

General

  • Develop and maintain strong, interactive relationships with all members of the Global Human Resources Department.
  • Maintain and develop the International and London SharePoint pages.
  • Review the PLR report on a monthly basis.
  • Monitor and deal with enquiries that come into the London HR Operations inbox.

Candidates for the HR Operations Specialist position should be degree educated and have strong experience of working with HR systems, gained from a law firm or professional services firm. You will have a strong functional knowledge of HR and the ability to manage multiple projects to tight deadlines. You must have excellent project management skills, and strong problem solving and analytical skills. The ability to communicate at all levels is essential. The successful candidate must be comfortable with supporting management and taking direction from multiple regions, including the UK and US.
